In the academic year 2025/26, doctoral students accepted at the Faculty of Natural Sciences will again have the opportunity to apply for a grant to attend research conferences. We look forward to supporting your participation in research conferences!
To apply for a travel grant, please complete the application form by June 30, 2026.
After June 30, 2026, the Dean's Office will review the applications received and decide how much funding can be approved. Only travel expenses approved through this process will be eligible for payment. You will be notified separately. Incomplete and/or late applications will not be considered.
Please note:
Only conferences and summer schools taking place between October 2025 and September 2026 can be funded. This makes it easier to settle the accounts in time before the close of the business year.
A grant can only be awarded to cover registration/participation fees and travel costs, but not accommodation costs. Travel costs include the way to and from the location, such as by plane/public transport/car and parking fees, possibly also visa/ESTA/ETA costs.
All expenses and expense claims must be processed within your department/institute, as the Dean's Office does not provide financial support to individuals directly. For this reason, trips must always be discussed in advance with the departments. Only trips whose costs have been processed within your department in the Faculty of Natural Sciences (not to external agencies or other universities) can be subsidized by the faculty dean's office.
Multiple applications per person for different trips related to doctoral studies are permitted. Doctoral candidates must be accepted by the faculty in order to apply for a travel allowance.
Receipts for expenses incurred must be submitted to the Dean's Office within four weeks of the trip, together with the institute's travel expense report (Reisekostenabrechnung) and the 'Auszahlungsanordnung'.
The following documents are required as evidence:
- The travel expense report (Reisekostenabrechnung, not just the application for business trip reimbursement/Antrag auf Dienstreisevergütung) with the department/institute,
- Receipts for the individual items, with (if applicable) additional attachments showing the totals of the items in EUR,
- The payment order from the department (Auszahlungsanordnung).
Overview of the process:
-> Submission of applications for travel expense subsidies by doctoral candidates or secretariats by June 30, 2026,
-> Submission of all travel documents by doctoral candidates or secretariats within four weeks of return,
-> Review of all applications and supporting documents by the Dean's Office,
-> Notification by the Dean's Office to departments regarding approved funding,
-> Settlement of subsidies by the Dean's Office with the departments/institutes.
